Extracurricular Programs Coordinator - Campus Englewood NJ

Englewood, NJ - Full Time

 

The Extracurricular Programs Coordinator is responsible for planning, coordinating, and overseeing a variety of extracurricular programs, including after school classes, camps, tutoring, and before-after care services for the students currently enrolled at the French American Academy but also to other students outside the full time school. 

 

The Extracurricular Programs Coordinator will play a crucial role in enhancing the overall educational experience for students beyond regular classroom hours while running a profitable department.

 

The Extracurricular Coordinator works collaboratively with all Management Divisions to implement and run engaging programs. The coordinator will create an effective, rigorous but kind climate in all programs.



 

Responsibilities



 

After School Program & Tutoring

Develop and implement French private and group classes, in person and online, for students and adults.

Set up a French course program which can include but is not limited to:
 

  • Adult classes
  • Mommy & Me
  • Children 5 - 7 years-old / 8 - 10 years-old  / 11 - 14 years-old 
  • Exam Prep (SAT II French, AP, etc)
  • Delf A1 - B2
  • Online/Virtual


 

Camps

Plan, organize, and execute seasonal camps (October, February, Spring and Summer), ensuring a mix of bilingual, educational and recreational activities.






 

Before / Aftercare 

Coordinate supervision of students from 7:15am to 8:30 am and from 3pm to 6:30pm, which includes care and study hall

 

For these programs, the following sections are needed: 

 

Staff

  • Select and supervise the teachers or staff 
  • Model the appropriate behavior in the classrooms at all times
  • Select providers when needed for camps
  • Provide clear schedules
  • Organize onboarding of each new team member which includes rules and safety 
  • Provide the right supplies to expand/supplement the appropriate activities
  • Log the staff hours
  • Find substitute in case of absence
  • Manage make-up dates
  • Conduct review or walk-through visit for regular team members - Being able to share expectations and observations - Being strict to apply rules and policies

 

Students

  • Welcome students during after school classes and camps 
  • Organize effective and smooth transitions of the students to the classes (after-care, study hall or enrichment) or the bus 
  • Ensure the safe release of children
  • Check the attendance log and record the student's late hours in aftercare.
  • Handle emergency situations such as children minor injuries and more serious accidents. Call and/or email parents when necessary. Fill out Accident or Incident Report
  • Share with the division directors any concern about the students 
 

Parents

  • Create descriptive and attractive flyers for each program
  • Communicate with families and send regular information about the enrichment programs and camps through emails and blog, with pictures (introduction of the team, theme for the period, addition of new games, etc.)
  • Give tours of the school for new families interested by the summer camp
  • Create and launch regular surveys to identify the needs of the community and evaluate the programs
  • Respond to any messages, praises or complaints in a timely and diplomatic manner
     

Accounting

  • Monitor budget and prepare reports on results. Ensure cost-effectiveness and adherence to financial guidelines
  • Create web forms for registrations
  • Prepare billing and post charges on SIS for parents
  • Approve invoices for expenses
  • Prepare staff payroll 
 

Marketing

  • Promote the programs within the current community but also outside
  • Participate in camp fairs or any fairs that could be helpful
  • Work with marketing department to advertise program to current students and outside students
